Introduction

Gigbuilder is the world's most powerful event management system for DJs and event professionals such as photographers and videographers. Please read through each question and answer accordingly. Within just a few minutes you'll be ready to turbocharge your office with powerful features such as:

Your Company

First, let's get some information about your company and how you communicate with clients. Its important to provide all fields but they are not required. Gigbuilder provides multiple methods of sending email and includes two-way free SMS communications as well. This is your basic setup. There are quite a few additional options available at Tools-System Configuration-Company Information.



For most businesses, this is your name. If running a large multi-op, provide the name of your office manager if not yourself.


Provide the city where you provide a majority of your services. This will be used as defaults in many fields.

We need your full 10-digit phone number. It is not necessary to provide spacing or formatting, just the numbers please.


Scheduled messages, meeting reminders, etc., need the proper time zone for delivery.


This can be the same as your office phone and is used to receive text notifications. Clients are unable to see this number.


Gigbuilder notifications such as new event notifications, meetings, daily summary, etc., will go to this email address. Try to use one on your website domain or gmail.


Is your primary actvity a disc jockey, photography company, videographer company, a band, or other.


Provide the full url of your website such as https://www.mysite.com or http://www.mysite.com - make sure you use http:// or https://.

Availability & Events

Gigbuilder has several ways to determine availability. This wizard will help you configure the basic setup which is suitable for most businesses. You'll simply tell Gigbuilder how many events per day your company can perform simultaneously which is used for the booking engine and check availability. You may optionally configure by available systems or employees at a later time. Second, we'll setup some basic event types such as a wedding reception. You can further customize in System Configuration.

Event Types

You may create as many event types as you'd like but to start, let's set some defaults. An example event type would be a Wedding Reception or maybe a Birthday. Once setup you may go into Settings and create additional event types and add additional features to the types we are about to create. You currently have the following event types configured: Birthday Party, Bridal Shower, Corporate Entertainment, DJ Service Only, Grade School Event, Graduation Party, High School Events, Other Event Types, Retirement party, Sweet Sixteen -Quinceanera, Wedding

Select as many item(s) as you'd like and Gigbuilder will automatically create a basic event type for each. You'll be able to customize them later.

This default event type will be used in the availability engine so select the type of event you most often perform.

Pricing

Gigbuilder handles pricing through packages. Each package can have a default time, price, off-peak price, and much more. Packages can be assigned to specific event(s) and make it simple to estimate an event cost. At this point we will create a single, simple package that will be assigned to all event types. You can modify this package and create additional packages in System Configuration. For now, give the package a simple name, default time, and a price. You currently have the following package(s) configured: Bronze Package 50 People or Le..., Custom Package Family Plus Onl..., DJ Service Bars And Club Only, Gold Package, Silver Package


Create a Simple Package

Give the package a good name. If you use the instant estimator this is what will display

Given the base price, how many hours are included.

What is the base cost of this package in dollars. For example, if its $1500 then enter 1500.

Event Deposits

If your company requires a deposit (most do), tell us how you calculate it. You can choose between a fixed amount or percentage of contract. You may also change the wording to something like retainer.


Select to calculate depost based on percentage of contract or a fixed rate.

Use whole numbers. If your deposit is based on a percentage then 25 would equal 25%.

This is what the client will see when they login to their event and on some reports. Most people use Deposit but others prefer Retainer or something else.

Default Settings

At this point most of the basic features have been configured. Gigbuilder is extremely powerful and has hundreds of individual settings that you'll become familiar with in the near future. Until then we suggest letting us finish the setup using time-tested default values. Simply select Yes for each default setting group OR select No to configure manually. You can always change any setting under Configuration or Web Settings from the Tools menu above.


Gigbuilder Look & Feel

There are numerous other sections to configure and apply values. If this is your first time configuring Gigbuilder OR you want to start fresh, then proceed with accepting DEFAULTS. You will have to navigate through all setup options if choosing to do this manually. Of course you can make changes at any time.

  • Build a clean login page for your client
  • Reset the home page to show the most popular controls
  • Import a number of emails, sms message templates, and documents to help you get started communicating with your clients

Web Tools Look & Feel

Gigbuilder provides a number of robust tools for your clients such as checking availability, Client Center for managing events, worksheets, music, etc., and a number of additional communication tools that can be placed on your website. You can control what the client can do by selecting from the following options. Any of this can be changed by selecting Tools then Web Tools
